Why Move From FoxPro to a SQL Database?

Abra Suite, now nearly 30 years old, is built on the Microsoft® Visual FoxPro® database platform. Microsoft announced the end of life for FoxPro in 2010 and ended support January 2015. Sage HRMS is built on Microsoft SQL Server, considered the “biggest leap forward” in the 27-year evolution of the SQL Server database. Sage isn’t adding any new features to Abra Suite and is focusing its development efforts on continually enhancing Sage HRMS.

Better Security

Your data is protected from unauthorized access by integrating network security with server security.  Since there is user level security, users can have restricted access to the data records.

Faster Processing

SQL Server processes requests from users and sends only the requested results. This minimizes information transmitted over a network.

Easier Maintenance

Maintenance is easy on SQL Server.  Both changes to the data structure and system back up are allowed while the server is active.

Scalable

Sage HRMS on a SQL server is scalable, designed for organizations with anywhere from  50 to over 10,000 employees.

How it Works

  • Upsize your Abra Suite to Sage HRMS database, one time.
  • Setup your Sage HRMS Payroll database(s).
  • Use Automated SQL Migration for Abra Suite (ASM) to refresh all HR and Payroll employee data.
  • Run a parallel test payroll calculation.
  • Use ASM to immediately identify all discrepancies found between the Sage HRMS Payroll calculation and your Abra Suite actual results.
  • Repeat the “Refresh” process as often as desired.

How ASM Fast Track Methodology Transforms a SQL Migration Project

Migration without ASM MethodologyASM Fast Track MethodologyASM Fast Track Advantage
Upsize Wizard has limited reporting of data issues but does not extend to payroll.ASM provides reports to the customer of invalid data within Abra Suite. MS SQL server cannot deal with source data that is not in the proper format. The Upsize Wizard skips data elements and/or records that are not in the proper format or that contain prohibited characters.ASM enables the customer to correct data issues in Abra Suite before the migration of data to Sage HRMS.

Correcting data issues up front reduces the impact of dealing with the issues as they surface during the project.

Corrections to known issues can be scripted and incorporated into the ASM process by an ASM Technical Consultant.

Without ASM, the approach to planning a payroll migration is nearly identical to planning a new implementation of Sage HRMS Payroll, regardless of the source system.

The same planning tools (PR discovery documents) are used for both new implementations and Abra Suite Migrations

The ASM Fast Track methodology assumes that Abra Suite HR and payroll are functioning properly. Therefore, the focus of planning is on what is not working with Abra or “must have” requirements with Sage HRMS.This approach streamlines and simplifies the planning process. The major activity is then mapping codes from Abra Suite to preconfigured codes in Sage HRMS Payroll.
Migration without ASM MethodologyASM Fast Track MethodologyASM Fast Track Advantage
The approach to migrations without ASM does not include any programmed repeatability. Repeating a step of refreshing data requires effort similar to the effort required the first time the step occurrence of the step. The ASM Fast Track methodology provides the customer the ability to redo the migration for all EINs or to select EINs on their schedule.Repeatability of the migration eliminates the need to enter data into both Abra Suite and Sage HRMS during the parallel testing phase of the project. In addition, repeatability affords the customer maximum flexibility to:

•  Iteratively refresh the Sage HRMS with current data before each parallel

•  Choose the timing of go-live by EIN or groups of EINs

•  Conduct parallels with YTD checks converted thru the prior pay cycle

The customer receives blank PR Discovery Documents.ASM extracts codes and settings from Abra Suite and prepopulates the ASM Fast Track Workbook along with best practices codes from Sage HRMS.Prepopulating the ASM Fast Track Workbook saves the consultant and customer time.
Migration without ASM MethodologyASM Fast Track MethodologyASM Fast Track Advantage
The typical approach has the customer create new codes in the PR discovery documents. The ASM Fast Track methodology takes advantage of a preconfigured “best practice” Sage HRMS Payroll database(s). Using a preconfigured “best practice” Sage HRMS Payroll database eliminates the need for the customer to setup and configure the payroll database from scratch. This approach results in:

•  Reducing the customers workload and related stress

•  Eliminating minor setup issues as the cause of parallel differences

•Shorter project duration

The primary ASM Fast Track planning activity is mapping existing Abra Suite payroll codes to preconfigured “best practice” Sage HRMS Payroll database(s).

ASM Fast Track Workbook documents all planning decisions.

Mapping Abra codes to preconfigured “best practice” codes saves time during the planning process.

Eliminating the need to have the customer create these new codes in Sage HRMS Payroll saves time and significantly reduces costs.

Custom work, quoted separately and generally executed one time by a technical consultant, incurs additional cost.

Exclusive reliance on the Upsize Wizard complicates the timing and repeatability of translating old HR codes to new codes.

Standard functionality of ASM supports mapping any code in Abra HR, Attendance, Custom Details, and Train to a new code in Sage HRMS. ASM’s repeatability means translations of old to new codes in the Sage HRMS database occurs with every use of ASM during the project.

Exclusive reliance on the Upsize Wizard complicates the timing and repeatability of renumbering of employee numbers.

Standard functionality of ASM supports the renumbering of employee numbers. Once assigned, the new number persists for the assigned employee. (e.g., Employees are not assigned to a different number each time ASM refreshes data.)ASM’s repeatability means that employee renumbering occurs with every use of ASM during the project.

The persistence of the assigned number enables reliance on the new number (e.g., as referenced by other systems or to allow refreshing of data without undoing converted payroll check history).

Exclusive reliance on the Upsize Wizard complicates the timing and repeatability of redefining org levels and cascading new codes on employee records throughout the Sage HRMS Live database.

Standard functionality of ASM supports the transposition of org levels 1-5 from one to another (e.g., when the label of org levels are new or reordered in Sage HRMS). ASM’s repeatability means that employee renumbering occurs with every use of ASM during the project.

Standard functionality of ASM supports the merging of duplicate employees found in one or more employer/EINs within Abra Suite. In general, the record that is active or that has the most recent termination date is preserved. ASM preserves all job and pay history with the merged employee.ASM’s repeatability means that the merging duplicate employees of logical employers defined in Abra Suite that share the same EIN occurs with every use of ASM during the project.

The Upsize Wizard does not support migrating more than one instance of Abra Suite. This complicates the timing and repeatability of merging separate instances of Abra Suite into a single instance of the Sage HRMS Live database.

Standard functionality of ASM supports the merging of separate instances of Abra Suite for customers that have licensed multiple copies of Abra Suite for use at remote sites.ASM’s repeatability means that the planning, setup, and testing of all instances of Abra Suite is done up front. The timing of migrating each instance using ASM is independent and based on customer’s resources and timetable.

Executed off-site, the consultant uses the Upsize Wizard to migrate all settings, codes, and employee data from Abra Suite to Sage HRMS.

The consultant restores the Sage HRMS Live database onto the customer’s servers and provides guidance as the customer creates codes and completes the setup and configuration of each Sage HRMS Payroll database.

The customer does not generally participate in the initial setup and configuration of Sage HRMS. A technical consultant holding the ASM Technical Consultant certification completes the setup and configuration off-site.

The ASM Fast Track methodology uses the Upsize Wizard to migrate HR settings and codes (but not employees) from Abra Suite to Sage HRMS.

The ASM approach recommends that setup and configuration include all critical inputs and outputs (e.g., time import, garnishments, check formats, 401k deduction exports, etc.).

ASM addresses the far too common phenomenon of Payroll user “burn-out” before ever getting to training and parallel testing.
Migration without ASM MethodologyASM Fast Track MethodologyASM Fast Track Advantage
Not ApplicableThe ASM approach includes a 100% parallel test as of a preliminary conversion date for ALL EINs before restoring the migrated data onto the customer’s servers. This includes check history through the conversion date.

All identified issues must be corrected and a perfect parallel achieved before restoring the migrated data onto the customer’s servers.

The ASM Fast Track methodology assures:

•  That all critical aspects of Sage HRMS, including critical inputs and outputs, have been properly setup and tested

•  That the customer will have a positive first hands-on experience with Sage HRMS by removing setup issues

•  That setup issues will not adversely impact parallel testing.

With the guidance of the consultant, customer will:  Run the Open Payroll process  Complete the employee data import/setup e.g. assigned earnings, deductions, taxes and banking information Not applicable-There is no comparable manual process. The ASM Fast Track methodology has already populated the employee settings in each Sage HRMS Payroll database before parallel testing. The ASM Fast Track methodology eliminates any requirement for the customer to manually import or set up employee data.

The consultant trains the users: Standard Sage HRMS Payroll End User Training. The ASM consultant restores the fully tested and migrated Sage HRMS databases and the configured ASM database onto the customer’s servers.
The ASM consultant trains the users: Standard Sage HRMS Payroll End User Training.Training also covers the use of ASM including:•  Refreshing data and running the migration•  Updating translation table for new circumstances•  Using the payroll parallel comparison

•  Converting additional check history as parallels progress

The ASM Fast Track methodology reduces the probability of discovering setup issues or data conversion issues because the methodology calls for a 100% parallel of all EINs, including the testing of the critical inputs and outputs of the payroll process.

With the guidance of the consultant, customer will complete at least two payroll cycles.

To identify discrepancies, the customer will manually compare payroll reports from Abra Suite and Sage HRMS. Customer corrects data or settings in Abra Suite and/or Sage HMRS as warranted.

The ASM Fast Track methodology enables the payroll users, without necessarily involving the ASM consultant to:

•  Refresh the Sage HRMS databases with current data in Abra Suite (includes all data translations, merges, transposing, etc.)

•  Convert detailed check history, when appropriate, so the YTD numbers on the current parallel will be correct.

•  Use the ASM comparison feature to filter the out all but the line items where Abra and Sage HRMS payrolls differ.

The ASM Fast Track methodology empowers user to:

•  Avoid the need to redundantly enter data in Sage HRMS (Abra is the “master” data)

•  Perform parallel testing on current data, including YTD numbers

•  Identify quickly any differences between parallel runs and focus on resolving the issue rather than finding them

•  Refresh Sage HRMS for any     EIN or group of EINs

Migration without ASM MethodologyASM Fast Track MethodologyASM Fast Track Advantage
Depending on the project timeline and circumstances, the customer may need to maintain data in both Abra Suite and Sage HRMS for a period in order for data to be available for parallel testing. Not applicable—ASM refreshes data before each parallel payroll test.
Migration without ASM MethodologyASM Fast Track MethodologyASM Fast Track Advantage
 The consultant will:

•  Refresh HR and Payroll Data

•  Bring in YTD history

Customer will validate employee information and YTD imports.

Note: There is an inherent risk when altering employee master data after a final parallel and before processing the first live payroll.

After successfully completing a parallel test for one or more EINs, the payroll user will use ASM to convert payroll check history and run the automated check history comparison. This is done to validate that check history for all payrolls prior to go-live are converted and balanced. The ASM Fast Track methodology enables go-live decisions to be staggered for one or more EINs based on the customer’s circumstances and readiness.
Migration without ASM MethodologyASM Fast Track MethodologyASM Fast Track Advantage
While it’s possible to stagger the go-live of EINs or groups of EINs, the consultant may need to coordinate certain project activities. The consultant also may require a  change request when the staging was not included in the originally scope of work. These activities may include:

•Refresh HR and Payroll Data

•Bring in YTD history

The ASM Fast Track methodology enables the payroll users to stagger the go-live of EINs or groups of EINs, without necessarily involving the ASM consultant. The design of ASM supports the staggering of EINs or groups of EINs without driving up the external costs of the project.

ASM’s level of automating lowers internal customer costs significantly.
