Paperless Self-Identification Forms for Veterans
The Voluntary Self-Identification of Veterans for Sage HRMS HR Actions provides an online form to any employee or contractor in Sage HRMS. This form allows applicants and new hires to identify as a member of one or more groups of protected veterans:
• Disabled veterans
• Recently separated veterans
• Active duty wartime or campaign badge veterans
• Armed Forces service medal veterans
The Importance of Voluntary Self-Identification of Veterans Form
Under section 41 CRF 60-300.42 of the Vietnam Era Veteran’s Readjustment Assistance Act (VEVRAA), federal contractors and subcontractors are required to invite employee self-identification as protected veterans at both the pre-offer and post-offer stages of the application process:
- Pre-offer: The contractor shall invite applicants to inform the contractor whether the applicant believes that he or she is a protected veteran who may be covered by the Act. This invitation may be included in the application materials for the position, but in any circumstance shall be provided to applicants prior to making an offer of employment to a job applicant.
- Post-offer: In addition to the invitation in paragraph (a) of this section, the contractor shall invite applicants to inform the contractor whether the applicant believes that he or she belongs to one or more of the specific categories of the protected veteran for which the contractor is required to report pursuant to 41 CFR part 61-300. Such an invitation shall be made at any time after the offer of employment but before the applicant begins his or her job duties. (from section 60-300.42 of VEVRAA)
For more information about these requirements visit the Office of Federal Contract Compliance Programs (OFCCP) The New Regulations: Vietnam Era Veteran’s Readjustment Assistance Act.
Online Record Keeping
VEVRAA requires contractors to document and annually update several quantitative comparisons for the number of veterans who apply for jobs and the number that are hired, maintaining the data for three years. This online form simplifies filing and accessing the information for internal purposes or OFCCP audits.
For New Hires
Once an individual is in Sage HRMS, even if their start date is in the future, they can access Sage HRMS HR Actions forms over the web. The Voluntary Self-Identification of Veterans form can be included as part of the onboarding process to satisfy the “post-offer” requirement of the regulation.
Stay Compliant
Affirmative action provisions in VEVRAA require contractors and subcontractors to recruit, hire, and provide equal opportunities for retention and promotion for protected veterans. This plugin for Sage HRMS HR Actions simplifies data collection from all applicants/new hires that assist employers in measuring the effectiveness of their outreach and recruitment efforts.
