Enables you to change an Employee ID to a new number within the same Employer
If you hire an employee into the wrong employer (Current Employer) but don’t catch the mistake before the employee completes the onboarding process in Sage HRMS HR Actions or setting the employee up in payroll, Employee Move enables you to move the employee to the proper employer (Target Employer) without losing the Actions in HR Actions. In cases where the employee has been rehired, or a cross-employer transfer has been performed in Sage HRMS to move the employee to the Target Employer, the employee record in the “wrong employer” needs to be removed or marked as “Terminated.”
Example Scenarios
Scenario 1 – A new employee exists only once in Sage HRMS, in the Current Employer, but the employee is in the wrong employer. The employee does not exist in the correct employer, the Target Employer. The employee was added to Sage HRMS via a New Hire Form completed in HR Actions. Employee Move can either move the employee to the target Employer or allow all the existing Actions to be resaved to the Target Employer.
In this scenario, Employee Move:

- reassigns the employee to the Target Employer in HR Actions without losing the employee’s historical Actions.
- If the Reset Completed Actions to Pending is checked, and
- no payroll transactions exist in the Current Employer, then
- the Employee Move will insert the new hire into the payroll database, and
- all completed Existing Employee Actions will be reset to Pending status, and
- the employee records in Sage HRMS and Payroll will be deleted from the Current Employer
- the user will save the Pending Existing Employee Actions to add the employee to the Target Employer (This enables the user to edit employer-specific codes before saving the Action to HRMS.)
- payroll transactions do exist in the Current Employer, then
- the Employee Move will insert the new hire into the payroll database, and
- all completed Existing Employee Actions will be reset to Pending status, and
- the employee will be terminated in Current Employer within Sage HRMS and Payroll
- the user will save the Pending Existing Employee Actions to update to the Target Employer (This enables the user to edit employer-specific codes before saving the Action to HRMS.)
- no payroll transactions exist in the Current Employer, then
- If the Reset Completed Actions to Pending is NOT checked, and
- no payroll transactions exist, then
- the Employee Move will insert the new hire into the Target Employer payroll database, and
- all Actions in HR Actions will be updated to point to the Target Employer and Employee ID (if it changed). The status of all Actions will remain unchanged, and
- the employee records in Sage HRMS will be moved from the Current Employer to the Target Employer, and
- the Payroll records will be deleted from the Current Employer
- the Payroll Admin will likely need to verify or augment the employee’s payroll settings in the Target Employer ( i.e., Earnings, Deductions, Taxes, EFT, etc.)
- payroll transactions do exist, then
- the Employee Move will insert the new hire into the Target Employer payroll database, and
- all Actions in HR Actions will be updated to point to the Target Employer and Employee ID (if it changed). The status of all Actions will remain unchanged, and
- the employee record in Sage HRMS will be copied from the Current Employer to the Target Employer.
- the employee will be terminated in the Current Employer within Sage HRMS and Payroll
- the Payroll Admin will likely need to verify or augment the employee’s payroll settings in the Target Employer ( i.e., Earnings, Deductions, Taxes, EFT, etc.)
- no payroll transactions exist, then
- update the employee record within Sage HRMS ESS to point to the Target Employer.
Scenario 2 – An employee exists more than once in Sage HRMS, i.e., the employee exists in both the Current Employer and Target Employer. This happens when the employee has been rehired into the Target Employer or performed a cross-employer transfer within Sage HRMS. Note: The Reset Completed Actions to Pending option is not available when the employee already exists in the Target Employer.
In this scenario, Employee Move will:

- reassign the employee to the Target Employer in HR Actions without losing the employee’s Actions entered while the employee was in the Current Employer. Action statuses will remain unchanged.
- if payroll transactions do not exist within the Current Employer, Employee Move will delete the employee records in HR Actions, Sage HRMS, and Payroll
- if payroll transactions do exist with the Current Employer, Employee Move will terminate the employee in HR Actions, Sage HRMS, and payroll.
- update the employee record within Sage HRMS ESS to point to the Target Employer, provided the Target Employer/ Employee ID does not already exist in the ESS database.
