When is an alert loop “closed,” and why do we feel better when it is?

Processes in HR and Payroll often involve multiple steps that require contributions from others for completion. Not knowing who’s done what can be uncomfortable as well as inefficient. Alerting software helps move information to the right people at the right time. But, although it informs you when an alert is sent and received, it often leaves a lot of questions around what action to take next. The alert loop is still “open.”

Closing the Loop

Often you need to know whether or not the recipient is able to address the alert with the required action. Do you need to send the alert to someone else? Was the process completed? Was it successful? Until you know the answers to questions like this, the alert loop isn’t closed.

When we book a flight or complete a bank transaction online, clicking “send” doesn’t guarantee the process went as expected. We breathe easier when we receive an email confirmation or the receipt shows up in our inbox.

New Acknowledgements Feature in Alerts and Workflow

Organizational alerts follow a similar pattern. Until you know that the alert was sent and received, and what the response to it will be, the alert loop remains open. In the latest version of Sage HRMS Alerts & Workflow, Version 9, you can now close the loop by providing six specific acknowledgements for monitoring critical business data and processes:

  • Acknowledge—Recipient acknowledges the alert.
  • Acknowledge Plus Response—Recipient acknowledges the alert and adds comments.
  • Acknowledge Yes/No—Recipient acknowledges the alert and answers “yes” or “no” to a question within the alert.
  • Acknowledge Yes/No Plus Response—Recipient acknowledges the alert, answers “yes” or “no” to a question within the alert, and adds comments.
  • Acknowledge Yes/No/Cancel—Recipient acknowledges the alert and answers “yes,” “no,” or “cancel” to a question within the alert.
  • Acknowledge Yes/No/Cancel Plus Response—Recipient acknowledges the alert, answers “yes,” “no,” or “cancel” to a question within the alert, and adds comments.

How to Access

Version 9.0 is available now. If you own Sage HRMS Alerts & Workflow and have a current maintenance and support agreement, you may download and install the upgrade at no cost. To receive the new license code needed to upgrade, email your request including the name of your organization and the name of the server on which Alerts & Workflow is installed. Your new license code will be emailed to you.
