Sage HRMS Payroll users sometimes need to work with a small group of employee records. For example, they may want to recalculate payroll for 15-20 employees after a “trial” payroll, reflecting changes in the new calculation. Or, maybe they cherry-pick a set of employees (new hires, terminations, special pays, etc.) to analyze in a payroll report. Another scenario that requires working with a small number of employees involves selecting a list of employees for mass update to the Employee Pay tab earnings/deductions/tax records.

Problem: No common Class Code

Sage HRMS has the ability to filter employee records by Class Codes (or employee ID) for calculation and reporting purposes, but this functionality is not useful when the small group of employee records does not have a common Class Code. The user is then left either processing for or reporting on the entire database of employees, many of which are not necessary, or individually choosing each employee. Have you encountered this predicament?

Solution: Create and use a Selection List

Rather than using either of the time-consuming approaches above—all employees or one by one—you can simplify the process by creating a selection list within Sage HRMS Payroll. This allows you to control the employees impacted by a payroll calculation or mass update as well as those included in a report or analysis.

Here’s how to do it:

  1. Create Selection List:

      2. Use Selection List:

Pull the Selection List into any payroll process or report that has the Selection List filtering option. For example, in Payroll Calculation window:

In Assign Taxes mass update window:

Calculation time and mass update time will be reduced by the number of employee records not included in the list (Those records will now be skipped in the calculation/update).

For example, in Earnings and Hours Report window:

Reporting/analysis time will be less since the report is focused on impacted employees only. Following these examples to create and use a selection list in Sage HRMS Payroll will simplify payroll tasks that involve a small group of your employees.
